Small business IT checklist for Nigerian offices

Short answer

Every small office should have five basics in place: power protection (surge protectors and UPS), automatic backups with a copy kept offline, strong unique passwords with two-step login on email and banking, genuine and updated software with antivirus, and a secured Wi-Fi network. Then add business email on your own domain, a simple record of devices and accounts, and a plan for when staff join or leave.

1. Power protection

Power problems damage more office equipment in Nigeria than anything else.

  • Put every computer, router and printer on a surge protector, not straight into the wall.
  • Use a UPS for desktops, the router and anything that must stay on during changeover, so work isn't lost when power goes or the generator is switched over.
  • Check that your inverter or generator wiring is properly earthed.

2. Backups (the most important item on this list)

Follow the 3-2-1 rule: 3 copies of important data, on 2 different types of storage, with 1 copy kept away from the office or offline.

  • Turn on automatic cloud backup for work folders (for example OneDrive with Microsoft 365, or Google Drive with Google Workspace).
  • Keep a second backup on an external drive that is disconnected after each backup, so ransomware can't reach it.
  • Test a restore every few months. A backup you've never restored from is a hope, not a backup.

3. Passwords and two-step login

  • Use a different strong password for every important account (email, banking, accounting, social media). A password manager makes this practical.
  • Turn on two-step verification (2FA) for email, bank, domain and social media accounts. Prefer an authenticator app over SMS where possible.
  • Never share one login among staff. Give each person their own account so you can remove access when they leave.

4. Genuine software, updates and antivirus

  • Use genuine Windows and Office/Microsoft 365 licences. Cracked software is a leading way malware and ransomware get in, and it's illegal for business use.
  • Turn on automatic updates for Windows, browsers and key programs.
  • Make sure Windows Security (or your chosen antivirus) is on and up to date on every computer.

5. Wi-Fi and network

  • Change the router's default admin password and Wi-Fi password.
  • Use WPA2 or WPA3 encryption.
  • Create a separate guest Wi-Fi for visitors and customers, so they're not on the same network as your office computers and printers.
  • Keep the router and network cabinet somewhere cool and protected from dust.

6. Business email on your own domain

An address like name@yourbusiness.com looks professional, is harder to impersonate, and stays with the business when staff leave. Set it up with Microsoft 365 or Google Workspace, with spam filtering, and add your domain's SPF, DKIM and DMARC records so your emails reach inboxes and criminals can't easily spoof you.

7. Know what you have

Keep a simple record (a spreadsheet is fine) of:

  • Every laptop, desktop, phone and printer: model, serial number, who has it, purchase date and warranty.
  • Every important account and subscription: who manages it, renewal dates, and where the recovery details are.
  • Your domain name and website hosting: who controls them and when they renew. Losing a domain because a renewal email went to an ex-staff member is more common than you'd think.

8. When staff join and leave

  • Joining: their own accounts, a set-up laptop, and a 15-minute talk on passwords, phishing emails and where to save files.
  • Leaving: disable their accounts the same day, change shared passwords, collect devices, and move their email and files to someone else.

9. Protect customer data (NDPA)

The Nigeria Data Protection Act 2023 applies to businesses that handle personal information. At a minimum: collect only what you need, keep it secure, control who can access it, have a privacy notice, and know what you'd do if data was lost or stolen. Don't keep customer lists on personal phones or unprotected USB drives.

10. Have a "what if" plan

Write down, on one page: who to call for IT problems, where the backups are and how to restore them, how to reach your bank if an account is compromised, and how to keep working during a long power or internet outage.
